Are you temporarily taking over a colleague's responsibilities in Spotler Mail+? You don't need to be an experienced user to perform the most important tasks. A temporary replacement usually only requires a few actions. This article guides you through them step by step.

Getting started
To manage a newsletter, you only need access to Spotler Mail+. After logging in, you will automatically be taken to the dashboard.
- Go to the login page of your Spotler Mail+ environment.
- Log in using your usual sign-in method, such as a username and password, Spotler ID, or Single Sign-On if your organization uses it.
- After logging in, you will automatically be taken to the dashboard.

First, check that you are using the correct account. Still having trouble? Contact the colleague who handed over the work or the administrator of your Mail+ environment.
The main components of Spotler Mail+
For a temporary replacement, you usually only need a small part of Spotler Mail+. The modules below are sufficient to manage most newsletters.

Messages and Mailings are not the same
- In Messages, you create or edit the content of a newsletter.
- In Mailings, you determine when the newsletter is sent and to which target audience.
A newsletter you edit in Messages is not sent automatically. Sending only takes place from Mailings.
Target audiences
The Lists module determines who receives a newsletter. In most cases, your colleague has already prepared this, and you only need to select the correct target audience when sending.
Do you need to adjust a target audience or import contacts after all? Then first read the Help Center articles about lists and imports before making any changes.
Editing an existing newsletter
Depending on your handover, you may need to edit a newsletter. In most cases, you do not need to create a completely new newsletter. It is safer to duplicate an existing newsletter and then edit the copy.
- Open the Messages module.
- Find a recent newsletter that can serve as the basis.
- Select Duplicate from the message menu.
- Give the copy a clear name.
- Open the new message in the editor.
Why duplicate?
Duplicating an existing message preserves the original newsletter. This helps prevent existing mailings from being modified unintentionally.
Editing the content of a newsletter
Once you have opened the newsletter, you can edit its content. After every change, check that the content is still complete and accurate.
Editing text
Click the text block to edit its content.
Tip: paste as plain text
Copying text from Microsoft Word? Paste it as plain text, for example using the keyboard shortcut Ctrl/Cmd+Shift+V. This prevents unwanted formatting from Word from being carried over into the newsletter.
Replacing images
Click an image to choose another image from the library. If the image you need is not yet available, you can upload it.
File size
A mailing may not exceed 3 MB in size in order to be sent. For images, a file size of around 100 KB is usually more than sufficient.
Checking links
Before continuing, always check that:
- buttons point to the correct page;
- all hyperlinks work;
- the newsletter does not contain outdated promotions or expired pages.
Testing the message
Carefully review the newsletter before sending it. A final check helps prevent errors in the content, images, or settings. At a minimum, check the following:
- The subject line.
- The sender name.
- The images.
- All links and buttons.
- Spelling mistakes or incorrect information.
Always send a test email
First, send the newsletter to yourself or a colleague as a test email. Then check how the newsletter is displayed on both desktop and mobile, and test all links before sending the mailing.
Finished testing? Don't forget to change the message status to Final.
Sending the mailing
Once the newsletter is ready, you can link it to a mailing. In Mailings, you determine which newsletter is sent, to which target audience, and when it will be sent.
- Open the Mailings module.
- Create a new mailing.
- Select the correct message.
- Select the correct target audience.
- Review the sending settings.
- Choose whether to send the mailing immediately or schedule it for later.
Carefully check the target audience
The selected target audience determines who receives the newsletter. Therefore, always verify that the correct list or segmentation has been selected before sending the mailing.
